    TITLE:                          STUDENT INFORMATION SPECIALIST

    JOB SUMMARY
    Work under general supervision to provide administration and systems management of the district’s student information system. Work cooperatively with all schools to train and use the student information system. Accurately prepare, audit, and file government reports.
     
    QUALIFICATIONS
    Required:
    1. Graduation from accredited two year college/university with a degree related to information technology with at least two (2) years of job related experience, or Industry/Military IT certifications combined with at least four (4) years of job related experience.
    2. At least two (2) years of experience working with databases, student information systems, or equivalent records-based information system.
    3. At least two years of experience working with student information systems such as SASI, OARS, Illuminate, Aeries, or other database-driven application.
    4. At least two years of experience with Microsoft SQL Server applications or equivalent database server.
    5. At least four years of experience with Microsoft Office, including Access and Excel with proven ability to write macros and write smaller SQL scripts.
    6. At least four years of experience with Microsoft Office, including PowerPoint to prepare custom charts, presentations, reports, and other written material.
    7. Ability to work effectively as a team member in an office environment with the ability to establish and maintain effective and courteous relationships with colleagues throughout the district.
    8. Ability to train others in the use of the district’s student information system, including training non-technical and secretarial staff.
    9. Ability to spell correctly and use good English grammar, interpret data processing procedures, and work calmly and accurately under pressure and with frequent interruptions.
    10. Ability to understand and accurately carry out oral and written instructions.
    11. Ability to communicate effectively and courteously using email, phone and other communication media.
    12. Experience with modern desktop operating systems and mobile platforms, including Microsoft Windows, Microsoft Office, MacOS, iOS, and Android.
    13. Valid California Driver’s license.
    Desired:
    1. Graduation from accredited four-year college/university with a degree related to information technology, an AA degree related to information technology with at least four (4) years of job related experience, or Industry/Military IT certifications combined with at least six (6) years of job related experience.
    2. At least four (4) years of experience working with databases, student information systems, or equivalent records-based information system.
    3. Experience programming Visual Basic for Applications (VBA) for Excel.
    4. Prior experience accurately preparing, auditing, and filing government reports such as CALPADS
     
    ESSENTIAL FUNCTIONS
    1. Provide analytical and assessment reports of student data to site staff, curriculum and district office.
    2. Prepare reports and presentations related to student data, including preparation of charts, PowerPoint presentations, Excel spread sheets, and Word documents.
    3. Coordinate student data processing timelines, deadlines and calendars with school site staff.
    4. Oversee, maintain, and audit the collection of student data for district, state, and federal reporting including CALPADS.
    5. Assist Help Desk answering support questions related to student information systems problems. Reset passwords, create accounts, and similar administrative activities.
    6. Manage and push out software updates to student information system. Work with staff to export data from student information system for external data processing.
    7. Advise supervisor on upcoming regulatory changes, changes in government filings, or other external factors that affect the operation or procedures for the student information system.
    8. Create and deliver training to district and school site staff. Write manuals and tutorials.
    9. Communicate with district staff and external parties such as colleges and grants.
    10. Oversee or prepare scan sheets, scan assessments, import assessments into student information system, and generally assist with preparation of assessments and collection of assessment data.
    11. Oversee or perform routine operational tasks such as printing of report cards, student schedules, preparing and scanning of surveys, assessments, and tests,
    12. Perform other duties as required as reasonably related to classification.
     
    PHYSICAL REQUIREMENTS
    1. Ability to sit for extended periods of time.
    2. Ability to stand and circulate for extended periods of time.
    3. Ability to see and read fine print and work with small objects with or without vision aids.
    4. Ability to hear and understand speech at normal levels with or without aids.
    5. Ability to communicate so others will clearly understand normal conversation.
    6. Ability to lift/carry/push/pull up to 10 pounds on a regular basis and up to 25 pounds occasionally.
    7. Ability to reach in all directions.
    8. Physical dexterity in limbs and digits to operate computers.                     
     
    MENTAL REQUIREMENTS
    1. Ability to concentrate on a single task for up to two (2) hours at a time.
    2. Ability to learn quickly and adapt to a variety of technology, instructions, and task methods.
    3. Ability to meet deadlines in terms of work assignment schedules.
     
    SOCIAL REQUIREMENTS
    1. Interact daily in person with other members of the site and school staff and possess comfortable interpersonal skills and cooperative attitudes.
    2. Because of the time urgent nature of duties and because work product of position is interdependent with that of other staff, consistent attendance is required.
    3. Convey an understanding, patient attitude toward other students, parents, staff and members of community.
    4. Maintain the privacy of confidential information including pupil data, staff data, or any other data accessible through the IT systems.
