    Job Title                             Secretary to the Superintendent

    Wage Range                       $17-$19 per hour

    Reports to                          Superintendent of Schools
    Position Purpose              To support the district office administration in a professional manner that leads to a strong system of communication that is efficient, accountable, responsible, and friendly.
    Essential Performance Responsibilities
    • Serves as direct administrative assistant to the Superintendent and Director of Human Resources, and assists other district office administrator as needed, performing regular clerical duties and other assigned tasks from time to time.
    • Daily and General Office Duties:
      • Serve as primary District Office receptionist receiving visitors and members from the public, receiving phone calls and distributing messages, etc.
      • Process incoming mail
      • Maintain files and perform various service filing duties (electronic and paper)
      • Schedule meetings and prepare meeting rooms as needed
      • Attend meetings as needed to record meeting minutes and disseminate meeting minutes
      • Facility communication and correspondence for the Superintendent
      • Responsible for preparation of Google Doc and Sheet files as directed by the administration
    • Board of Directors and School Board Meeting Duties:
      • Prepare board meeting agendas (regular and special) with input from Superintendent, Executive Director of Administrative Services, and other school administration
      • Gather supporting records and documents to create a board meeting packet
      • Distribute board meeting packet to board members and school administration
      • Post all public meeting agendas
      • Retain permanent record of all board meeting packets and other meeting documents
      • Order and deliver meeting meals as needed
    • Board Policies and Administrative Rules & Regulations
      • Assist the Superintendent and Board Policy Review Committee in the preparation of board policies
      • Prepare final policies for review and adoption by the Board of Directors
      • Maintain permanent records of all board policies and post current policies to the school website
    • Human Resources Duties
      • Serve as the central data collection point person for all employee hiring
      • Post all employee hiring notices in the District, website and newspaper public advertising
      • Assist the Director of Human Resources in processing and screening employment applications
      • Conduct criminal background checks for new employees, substitute employees and school volunteers
      • Retain a permanent record of all employee and volunteer background checks
      • Assist the Director of Human Resources in the hiring process, including preparation of personnel recommendations for the Board of Directors
      • Assist the Director of Human Resources with creating and maintaining electronic personnel files
      • Assist in preparing the school calendar, gathering survey data, attending planning meetings, creating sample calendars, etc.
      • Prepare and keep a record of all employee job descriptions
      • Maintain accurate records of employee educational license certifications and expiration dates, educational transcripts and AEA credit certifications
      • Assist the Director of Human Resources in preparing and distributing employee master contract agreements, employee handbooks, and annual employee directory
      • Assist with the organization of the End of Year Celebration and any employee service recognition awards.
    • Communication
      • Prepare quarterly District newsletter with information provided from administration and other sources
      • Post notices as directed to the school website
      • Assist Superintendent with annual parent survey preparation and data collection
      • Respond to support requests from the Board of Directors
      • Prepare information brochures and other communication documents
    • Budgeting
      • Assist Superintendent and Executive Director of Administrative Services in the annual preparation of the budget
      • Process purchase orders for all purchases for Superintendent, Director of Human Resources, board meetings, and general District Office supplies
      • Maintain office supply inventories
      • Receive orders, verifying receipt of items and distribute supplies as needed
    • Iowa Department of Education Reporting
      • Assists administration in preparing personnel and other employee reports as required by the Department of Education
    • Cross Training Duties
      • Act as the backup for the Registrar for student enrollment as needed

    Qualifications Profile
    • Community college or business education in administrative assistant services and general office prodedures
    • Minimum of 5 years experience as an administrative assistant in a fast-paced office
    • Demonstrates proficiency in the use of general office technology (Microsoft Office Suite, Google Suite) and aptitute to learn advanced technology applications
    • Ability to learn customized software, track data and apply the software in problem-solving capacities
    • Advanced clerical and general business office skills
    • Strong organization skills necessary to maintain an efficient and effective records system
    Physical Requirements
    Phyiscal requirements vary by individual job assignment but requires a minium of the following physcial requirements:
    • Lifting, carrying, pushing up to 10-40 pounds on occasion
    • Requires some stooping and kneeling
    • Must be able to sit upright in a desk chair for 7-8 hours per day
    • Must be able to perform data entry at a computer workstation for 7-8 hours per day
    • Must be able to meet a pre-employment physical examination

    Terms of Employment
    • At-Will, Hourly Confidential Employee
    • 12-month position (260 days per year, 8 hours per day)
    • Employment per Board Policies and Administrative Rules and Regulations
    Performance will be evaluated annually by the Superintendent.
